Administrative Coordinator (Vancouver) 

The False Creek Racing Canoe Club, established in the 1980s, is seeking a knowledgeable, enthusiastic  administrative professional to take on the Club’s administrative coordinator role and responsibilities. As  a key resource for an elected, volunteer Board of Directors, your job is to implement and manage  administrative policies, functions, and programs to keep the Club operating. In support of the Club’s  dynamic activities and proven history of sending winning athletes to local, national, and international  competitions, you act as a key liaison between the club and external sport associations (i.e. IDBF, DBC,  CORA, CKBC), manage internal registrations, provide initial bookkeeping and accounting support, and  provide advice and recommendations to the Board of Directors on operations of the club. The  Administrative Coordinator is the face of our club! 

Roles and Responsibilities include (but are not limited to)

  • Acting as a first point of contact for the Club, respond to inquiries from members and the  general public, staff the Club office during posted hours, with some work-from-home hours Setting up, monitoring, and processing programs and courses in the club registration system,  (e.g. registrations, waitlists, payments, statistics) 
  • Working with club teams to ensure required documents, evaluations, and surveys are  completed and maintained 
  • Managing private boat storage including allocating storage slots, keys, and locks Performing day-to-day accounting, bi-weekly payroll, and initial book-keeping (banking).  Working with the Program Coordinator as necessary (e.g. dock staff scheduling) Ensuring current, accurate information is on the Club website and Alumni webpage, and notice  boards 
  • Maintaining accurate and current records (e.g. membership and Alumni databases, membership  cards/decals, team contact lists, employee files, Pleasure Craft licenses, insurance, equipment,  grants, contracts, official club documents and policies, etc.)  
  • Working with the Discipline Representatives (Dragon Boat, Outrigger, Flatwater) to manage  scheduling of programs, team practices, boat reservations for OC6/coach boat/dragon boat, etc. Communicating with the Executive, Members and others as needed  
  • Assisting with development and submission of Club policies and grant applications Providing administrative support as required to the Executive, Program Coordinator, staff and  program heads, attend monthly Executive meetings as required  
  • Assisting with Club events as required 
  • Gathering and maintaining Club photos, create an Annual Report from AGM Material 

Core Qualifications and Experience: 

  • 3-5 years’ experience in reception/office administration 
  • Basic accounting and banking knowledge 
  • Strong computer skills with working knowledge of MS Office, website management (WordPress), and social media; adaptability and readiness for technology improvements moving  the Club forward 
  • Customer service-oriented, volunteerism or employment in sport an asset 
  • Self-motivated and able to work with minimal supervision 
  • Strong organizational, time management, verbal, and written communication skills
  • Familiarity with FCRCC or similar paddling clubs, and non-profit organizations preferred 

Compensation

This is a permanent part-time position (15 to 20 hours per week; fluctuates throughout the year); with a  3-month trial period. Wage range of $18.00-$24.00 an hour based on qualifications and experience.
